AI tools now promise to fix every part of that picture. The question is what they cost, which ones you actually need, and where they fall short. This page puts real 2026 prices side by side so you can decide before a sales call, not during one.

In short: A small clinic's AI setup has three layers. A cloud clinic system with AI features costs roughly HK$600 to HK$950 per doctor per month. What Does a Clinic Management System With AI Cost?
In short: Cloud clinic systems built for Hong Kong charge per doctor, typically HK$600 to HK$950 a month. HelloClinic publishes HK$750 and HK$950 plans with a 14-day free trial and no card required. Older systems such as ClinicSolution usually run on a server inside the clinic and are quoted individually, with little or no AI.
The clinic management system is the foundation. It holds patient records, appointments, dispensing, inventory and billing. Everything else plugs into it, so choose this layer first.
According to HelloClinic's pricing page, both plans include two support-staff accounts per doctor, free data migration and 300 monthly credits for AI features such as a consultation assistant, WhatsApp assistant and email drafting. Annual billing gives two months free. If you do not subscribe after the trial, trial data and the login are deleted.
HelloClinic's own 2026 comparison guide puts ClinicX at around HK$600 a month and describes ClinicSolution as a stable on-premise system with no AI features. Treat any vendor's review of its rivals with caution and ask each supplier for a written quote.

How Much Does an AI Medical Scribe Cost?
In short: An AI medical scribe listens to a consultation and drafts the clinical note. Heidi offers a free tier and a Clinician plan at about US$150 (HK$1,170) per user per month billed annually, while Freed charges US$39 to US$119 a month. Writing notes directly into your clinic system usually requires a higher, custom-priced tier.
For a busy GP seeing 40 patients a day, note-writing can eat an hour or more after the last patient leaves. That is the time a scribe is designed to give back.
Third-party reviews, including one published by Plaud, report that Heidi raised its Clinician plan from about US$99 to US$150 a month in a February 2026 rebrand, added an Evidence Plus add-on at about US$40, and kept its free tier. Sending notes straight into an electronic record system is limited to the custom-quoted Practice tier and above.
Language is the key test in Hong Kong. Heidi claims support for more than 110 languages, but consultations here often switch between Cantonese, English drug names and medical terms in one sentence. What Do WhatsApp Automation and an AI Front Desk Cost?
In short: From 1 October 2026, WhatsApp Business Platform replies inside the 24-hour customer window become billable after 1,000 free per number each month. A clinic system's WhatsApp reminders cover bookings, while an AI front-desk employee answers open questions around the clock and is quoted per role.
WhatsApp is where Hong Kong patients book. Meta's change, explained in our guide to WhatsApp service messages, means a busy clinic answering more than 1,000 replies a month on one number will start paying per message. The free WhatsApp Business app is not billed per message, but it cannot connect to AI automation officially.
There are two ways to automate:
--- Built-in reminders. HelloClinic's Marketing plan (HK$200 more per doctor per month than Basic) sends booking confirmations and follow-up recalls. Good for reducing no-shows.
--- An AI front-desk employee. This answers free-form questions such as opening hours, vaccine availability, consultation fees and "is Dr Chan in on Saturday?", then books or hands over to staff. UD's AI Staff service works this way and is priced per role after an assessment.
Illustrative monthly total: a two-doctor GP clinic

Now compare that with the cost of doing nothing. If even two patients a week message after hours, receive no reply and book elsewhere, that is roughly eight lost consultations a month, plus any follow-up visits they would have made. For many clinics, that alone is larger than the monthly software bill. Use your own consultation fee to run the sum.
Where Do These Clinic AI Tools Fall Short?
In short: The main limits are untested Cantonese accuracy, overseas privacy terms written for US law, vendor-written comparisons, and strict Hong Kong rules on patient data and doctor promotion. No AI front desk, including UD's, should give medical advice. Check each limitation before you buy, not after.
Privacy law is local. Many scribes advertise US-style HIPAA agreements. Hong Kong clinics answer to the Personal Data (Privacy) Ordinance. In March 2026 the PCPD reminded providers that using eHealth records for direct marketing is a criminal offence, and that direct marketing from local systems must meet PDPO rules.
Broadcast marketing needs care. WhatsApp broadcast tools are powerful, but the Medical Council's Code of Professional Conduct restricts how doctors promote services. Have every automated campaign reviewed before it goes out.

--- Multi-branch groups: ask for enterprise pricing, record-system integration and a written data-processing agreement.
How to test before you pay
