Many Hong Kong business owners believe AI receipt scanning is either free (so every app is the same) or expensive (so it is only for big companies). Both ideas are wrong, and both cost money.
In 2026, the real price range runs from HK$0 to roughly HK$200 per month for most small teams. The catch is that the cheapest tool for a 3-person shop can become the most expensive mistake for a 15-person trading company, because of document limits, annual contracts and features that do not fit how Hong Kong businesses actually keep receipts.
This page compares four widely used tools (Hubdoc, Zoho Expense, Expensify and Dext) on price, limits and contract terms, shows three realistic total-cost examples, and is honest about where each tool falls short. Prices are list prices in US dollars as published on vendor pages and tracked by CostBench, converted at US$1 = HK$7.8. Always confirm the current price before you sign.
How much do AI receipt scanning tools cost in Hong Kong?
Most small Hong Kong teams pay between HK$0 and about HK$200 per month. Hubdoc is free with a Xero subscription, Zoho Expense has a free plan for up to 3 users, Expensify charges US$5 to US$9 per user per month, and Dext's business plan costs US$25.21 per month on annual billing.
2026 price snapshot (list prices, converted at US$1 = HK$7.8)
--- Hubdoc: no extra charge. It is bundled with every Xero business plan, so the real cost is your Xero subscription. Captures header details (supplier, date, total) and publishes to Xero.
--- Zoho Expense: Free plan for up to 3 users with 20 receipt autoscans and 5 GB storage. Standard US$4 per user per month, or US$3 on annual billing (about HK$23 to HK$31). Premium US$6, or US$5 annually (about HK$39 to HK$47), adds itemised receipt scanning. Prices checked by CostBench on 31 October 2026.
--- Expensify: a free plan for individuals submitting receipts, then Collect at US$5 per user per month (about HK$39) and Control at US$9 per user per month (about HK$70), according to CostBench's comparison.
--- Dext Business: US$25.21 per month billed annually, or US$302.50 per year (about HK$2,360), for 250 documents per month and 5 users. 14-day free trial with no card required. Details on CostBench's Dext page.
What is the difference between receipt capture and expense management?
Receipt capture tools such as Hubdoc and Dext read supplier bills and receipts and push the data into your accounting software. Expense management tools such as Zoho Expense and Expensify handle staff claims: an employee photographs a receipt, a manager approves it and the business reimburses it. Many small businesses need one, not both.
Think of it this way. Receipt capture is about money the company spends directly, such as the electricity bill, the supplier invoice or the cloud software subscription. Expense management is about money staff spend on the company's behalf and want back, such as a taxi to a client or lunch with a customer.
The "AI" in all four tools is mainly optical character recognition (OCR) plus automatic categorising. The software reads the image, pulls out the supplier, date and amount, guesses the expense category and learns from your corrections. It saves typing. It does not replace your accountant's judgement.
Is Hubdoc really free, and what is the catch?
Hubdoc costs nothing extra if you already pay for Xero, which makes it the default choice for Xero users with simple bills. The catch is scope: it captures header-level data only, it no longer fetches bills automatically from banks and utilities, and its QuickBooks link is no longer actively promoted.
According to a June 2026 comparison by finance firm Eightx, Hubdoc closed its standard auto-fetch to new connections on 31 January 2022 and retired it fully on 27 June 2022, with no replacement since. That means someone still has to forward or photograph every document.
Eightx's rule of thumb: if you are on Xero and process fewer than about 200 bills per month with simple categories, Hubdoc is usually enough. If you are on QuickBooks, run several companies, or need invoices split line by line, a paid tool earns its fee.
What does Dext cost once you add the fine print?
Dext's business plan lists at US$302.50 per year for 250 documents and 5 users, but the contract terms matter more than the sticker. CostBench records a one-year minimum, automatic renewal and no downgrades mid-term, and Dext users report renewal increases of 10% to 30%. Extra documents above your limit are stored but not processed.
Points to check before signing:
--- Document limit: when you pass 250 documents in a month, uploads still succeed but data extraction pauses until the next cycle or until you upgrade.
--- Users: 5 are included. One user reported paying US$66 per extra user per year.
--- Renewals: CostBench quotes one user whose subscription rose from US$255 to US$418 over four years.
--- Accountant pricing: if your accountant already uses Dext's practice plan (from US$17.70 per client per month, 10-client minimum), adding your business through them may cost less than buying directly.
Where Dext wins: line-item extraction, supplier statement reconciliation and support for several accounting systems, including Xero, QuickBooks and Sage. For a company handling hundreds of multi-line supplier invoices a month, those features save real bookkeeping hours.
How much will a typical Hong Kong SME actually pay?
For most small businesses, the yearly bill is between HK$0 and about HK$3,000. A small Xero user can pay nothing extra, an 8-person team with staff claims pays roughly HK$2,250 a year on Zoho Expense, and a firm with heavy supplier paperwork pays about HK$2,360 a year for Dext's entry plan before extras.
Example 1: 3-person florist on Xero. Hubdoc for supplier bills plus Zoho Expense Free for the occasional staff claim. Extra cost: HK$0 per month. Limit to watch: 20 autoscans on Zoho's free plan.
Example 2: 8-person trading company with sales staff claiming taxis and client meals. Zoho Expense Standard on annual billing: 8 users x US$3 = US$24 per month, about HK$187 per month or HK$2,246 per year. The same team on Expensify Collect: 8 x US$5 = US$40, about HK$312 per month.
Example 3: 15-person interior design firm on QuickBooks, about 200 supplier invoices a month. Dext Business at about HK$2,360 per year covers 250 documents and 5 users. Every extra user and every busy month above 250 documents adds cost, so model your peak month, not your average.

Where do receipt scanning apps fall short for Hong Kong businesses?
None of the four vendors publishes accuracy figures for handwritten Traditional Chinese receipts, which are still common at Hong Kong wet markets, small suppliers and restaurants. Several features, such as VAT handling, are built for other markets. And all of them leave someone to chase staff for missing receipts and check the unclear ones.
Honest limitations to weigh:
--- Chinese and handwritten receipts: test 20 of your own messiest receipts during the free trial before committing. Faded thermal-paper receipts are a common failure point for any scanner.
--- Built for VAT markets: Hong Kong has no VAT or GST, so tax-reclaim features you pay for in higher tiers may be useless to you.
--- Record keeping still applies: the Inland Revenue Department requires businesses to keep sufficient records of income and expenditure, in English or Chinese, for 7 years under section 51C of the Inland Revenue Ordinance. Check how you would export your receipts if you cancel the app.
--- Card feeds: CostBench notes Zoho Expense's card integration is one-way, so paid card items may still need manual closing.
--- The human chase: no app stops staff forgetting to upload receipts. Someone still sends the reminders.
Which receipt scanning tool should you choose?
Choose by your accounting software and your paperwork volume, not by features. Xero users with simple bills should start with Hubdoc. Teams whose main pain is staff claims should try Zoho Expense, then Expensify. Businesses with heavy, multi-line supplier invoices or QuickBooks should trial Dext. Test with your own receipts before paying.
Verdict by buyer type
--- Xero user, under about 200 bills a month: Hubdoc. Free and good enough.
--- Up to 3 people with occasional claims: Zoho Expense Free.
--- 5 to 20 staff submitting claims: Zoho Expense Standard for price, or Expensify Collect if your team prefers its app. Trial both for a week.
--- Heavy supplier invoices, QuickBooks or several entities: Dext, but negotiate users up front and diarise the renewal date.
--- The real bottleneck is people, not scanning: consider whether an AI staff member, described below, fits better than another app.
When does an AI accounting staff make more sense than another app?
An AI staff member makes sense when the problem is the work around the receipts, not the scanning itself. If your admin person spends hours chasing staff on WhatsApp, checking unclear Chinese receipts and matching claims to bank records, an AI employee can take over that routine. If you only need scanning, a HK$0 to HK$200 app is cheaper.
UD's AI Staff Solution deploys AI employees for roles such as accounting and admin support. In this workflow, the AI employee can collect receipts sent through chat, flag missing or unreadable ones, prepare entries for your existing accounting software and remind staff about outstanding claims, with a person approving the final numbers.
To be clear about limits: UD does not sell a receipt scanner, and an AI employee does not replace your accountant or auditor. UD does not publish a fixed price for this role. Pricing is quoted after a free assessment of your workflow, so compare that quote against the app costs on this page.
Frequently asked questions
These answers cover the questions Hong Kong owners ask most before buying a receipt scanning tool: free options, trials, Chinese receipts and legal record keeping. In short, free tools exist, every paid option offers a way to test first, Chinese accuracy must be tested yourself, and the 7-year IRD rule applies whatever tool you use.
What is the cheapest receipt scanning app for a Hong Kong small business?
Hubdoc if you already use Xero, since it adds no cost. Otherwise Zoho Expense's free plan covers up to 3 users with a small autoscan allowance.
Does Dext have a free trial?
Yes. Dext offers a 14-day free trial with no payment details required, according to CostBench. Paid plans then require a one-year commitment.
Can AI receipt apps read Chinese receipts?
Printed Chinese receipts are often read, but no vendor in this comparison publishes accuracy for handwritten Traditional Chinese. Test your own receipts during the trial.
Can I throw away paper receipts after scanning them?
Check with your accountant first. The IRD requires sufficient records to be kept for 7 years, so make sure your digital copies are complete, legible and exportable.
The bottom line
AI receipt scanning is neither free for everyone nor reserved for big companies. For most Hong Kong SMEs, the right tool costs between HK$0 and HK$3,000 a year. The smart move is to match the tool to your accounting software and paperwork volume, test it on your own messy receipts, and read the renewal terms before you sign.
If the real headache is the chasing, checking and matching around the receipts, that is where an AI employee can help.
