You are deciding whether to license Microsoft 365 Copilot for the people who live in their inbox, or to buy something narrower and cheaper that does the email job well. Here is what that decision actually turns on in October 2026: the base licence you already own, where your mail is hosted, and whether your teams write in English or in Hong Kong business Chinese.
This guide compares the realistic options with current published prices, shows where each one wins, and is explicit about the limitations of every option, including UD's own.
What are the alternatives to Microsoft 365 Copilot for email?
The main alternatives are Gemini inside Google Workspace, ChatGPT Business used alongside your mail client, third-party Outlook add-ins such as MailMaestro, and locally deployed email assistants such as UD's AI UMail Assistant. Each trades breadth of AI features against cost, deployment effort and how well it handles written Chinese and local data requirements.
Copilot is the default comparison because many Hong Kong enterprises already run Microsoft 365. But Copilot is a suite-wide assistant for Word, Excel, PowerPoint, Teams and Outlook, priced per user across the whole suite. If the job you need done is mainly drafting, replying, summarising and translating email, you may be paying for capabilities your sales coordinators and customer-service staff will never open.
Third-party reviews such as Mailbird’s comparison of Outlook AI assistants group the market the same way: a native suite assistant, general-purpose chat tools, and specialist email add-ins.
Why do Hong Kong firms look for Copilot alternatives?
Hong Kong firms usually look elsewhere for four reasons: Copilot requires a qualifying Microsoft 365 base licence, many firms still run Webmail or self-hosted mail, generic models often miss local business-Chinese etiquette, and some clients ask where email content is processed. Any one of these can change the cost or the risk of a Copilot rollout.
--- Base licence lock-in. Copilot is sold only as an add-on to a qualifying Microsoft 365 subscription, so firms on other mail platforms must migrate first.
--- Mixed mail estates. Trading houses and family-owned groups often run a self-hosted mail server or a hosting provider's Webmail alongside a few Microsoft 365 seats.
--- Written Chinese. Honorifics such as 敝公司, 貴司 and 敬請賜覆 read as professional when correct and abrupt when wrong.
--- Data questions from clients. Financial and professional-services clients increasingly ask vendors where AI tools process their correspondence.
How much does Microsoft 365 Copilot cost in 2026?
Microsoft 365 Copilot Business is listed at US$18 per user per month on annual billing for organisations of up to 300 users, or US$25.20 month to month. Copilot Enterprise is US$30 per user per month on an annual commitment. Both are add-ons, so the qualifying base licence is an additional cost.
These figures come from Microsoft's published pricing as compiled by eesel AI in May 2026. Some resellers quote US$21 as the Business list price with US$18 as a promotional rate, so confirm the current figure with your licensing partner before budgeting.
Base licences also moved. According to Redress Compliance’s 2026 licensing analysis, Microsoft raised Microsoft 365 E3 from US$36 to US$39 and E5 from US$57 to US$60 per user per month on 1 July 2026, which lifts the true cost of every Copilot seat sitting on those plans.
A worked example. A 150-person Hong Kong trading firm wants AI for its 60 heaviest email users. Copilot Business for 60 seats costs about US$12,960 a year (roughly HK$101,000), and Copilot Enterprise about US$21,600 (roughly HK$168,500), in both cases before any base licences the firm does not already hold.
How do the main email AI alternatives compare?
On published prices, Gemini is effectively included in Google Workspace Business plans from about US$14 per user per month, ChatGPT Business costs US$20 per seat on annual billing, and Copilot adds US$18 to US$30 per user on top of Microsoft 365. Local email assistants such as AI UMail Assistant are quoted by user count and features.
AI email assistant options at a glance (October 2026)
--- Microsoft 365 Copilot Business: US$18 per user per month annual, US$25.20 monthly; up to 300 users; requires a qualifying Microsoft 365 base licence; works across Outlook, Word, Excel, PowerPoint and Teams.
--- Microsoft 365 Copilot Enterprise: US$30 per user per month, annual commitment; requires a qualifying enterprise base licence; adds organisation-wide data grounding through Microsoft Graph.
--- Gemini in Google Workspace: included in Business plans, with Business Standard at about US$14 per user per month annual according to eesel AI’s Workspace pricing guide; requires your mail to run on Gmail.
--- ChatGPT Business: US$20 per seat per month annual or US$25 monthly, two-seat minimum and a 200-seat cap, per UD's ChatGPT Business or Enterprise guide; a separate workspace rather than a native mail-client feature.
--- AI UMail Assistant: priced by user count and feature mix through a written quote, returned within one working day; works with Webmail, desktop Outlook and self-hosted mail; no Microsoft 365 or Workspace subscription required.
Where does Microsoft 365 Copilot still win?
Copilot is the stronger choice when your firm already runs Microsoft 365 E3 or E5, wants AI across documents, spreadsheets, meetings and chat as well as email, and needs answers grounded in SharePoint, OneDrive and Teams content. In that situation, a separate email tool adds a second vendor without replacing what Copilot uniquely does.
Copilot's real advantage is context. Because it reads across Microsoft Graph, it can draft a reply that references the latest contract in SharePoint or the decision recorded in a Teams meeting. A standalone email assistant cannot see those sources.
Compliance tooling is the second advantage. Microsoft states that Microsoft 365 Copilot data is not used to train foundation models, and the product sits inside the Purview controls many enterprises already audit, as summarised in eesel AI’s Copilot pricing guide.
If you are a 400-person bank-affiliated firm already on E5 with a mature Microsoft governance team, the honest recommendation is to pilot Copilot Enterprise with your heaviest users rather than add another email tool.
What are the limitations of AI UMail Assistant?
AI UMail Assistant is an email tool, not a suite assistant. It does not work inside Word, Excel or Teams, it cannot ground answers in SharePoint or Teams content, it has no public price list, and its time-saving figures are UD's own published benchmarks rather than independent third-party measurements. Buyers should weigh these limits before deciding.
--- Scope: drafting, replying, summarising, translating, tone switching and company dictionaries for email only.
--- Pricing transparency: pricing is by written quote based on users and features, which makes quick side-by-side budgeting harder than a published per-seat price.
--- Evidence: UD's product page cites 60 to 90 minutes saved per user per day, based on industry data on time spent in email; treat this as a vendor claim and measure it in your own pilot.
--- Ecosystem: it is a local product with a smaller review footprint than Microsoft or Google, so reference calls with existing customers matter more.
What it does offer is specific: Hong Kong data-centre processing by default, a commitment that email content is not used for model training, a separate Data Processing Agreement on request, and written-Chinese conventions built into its templates.
How hard is it to switch or run two email AI tools?
Switching effort depends on the mail platform, not the AI tool. Moving to Gemini means migrating mail to Google Workspace; moving to Copilot means licensing Microsoft 365 for every Copilot user. A mail-client plugin such as AI UMail Assistant avoids a platform migration, and UD quotes deployment within about a week for smaller teams.
Running two tools is common and often sensible. A firm can give Copilot Enterprise to 30 executives and analysts who need cross-document context, and a lighter email assistant to 80 coordinators who mostly reply to customers and suppliers.
Consider a 220-person Hong Kong freight forwarder with Microsoft 365 for head office and a hosting provider's Webmail for its warehouse and customer-service teams. Moving everyone to Microsoft 365 just to unlock Copilot would mean a mail migration, new licences for roughly 120 users and retraining on a new client, before any AI benefit appears. A split model lets head office pilot Copilot while the operations desk tests an email-only assistant on the mail system it already uses.
The governance cost is real, however. Two tools mean two data-processing reviews, two sets of usage policies and two lines in the AI system register. Decide the split by role, document it, and review it after one quarter.
Which email AI should each type of buyer choose?
Firms already on Microsoft 365 E3 or E5 should pilot Copilot first. Firms on Google Workspace should use the Gemini they already pay for. Firms on Webmail or self-hosted mail that write mainly in business Chinese should evaluate a local email assistant. Firms wanting a general AI workspace beyond email should compare ChatGPT Business.
--- Microsoft 365 E3 or E5 estate, cross-document work: Copilot Enterprise pilot with your 20 to 50 heaviest users.
--- Microsoft 365 Business plans, under 300 users: Copilot Business, budgeted at the current list price rather than a promotional rate.
--- Google Workspace estate: Gemini, already included; spend your budget on training and usage policy instead.
--- Webmail or self-hosted mail, business-Chinese heavy: request a quote for AI UMail Assistant and run a 30-day pilot on one team.
--- Need a general AI workspace for research and drafting: ChatGPT Business, with clear rules on what client data may be pasted in.
What is the right next step?
Do not start with the tool. Start with three facts: which mail platform each team uses, how many staff spend more than two hours a day in email, and which base licences you already pay for. Those three answers usually make the decision for you, and they give your CFO a business case built on real seat counts rather than vendor averages. If two platforms are in play, accept that two tools may be the cheapest honest answer.
Then pilot with one team for 30 days and measure response time, rewrite rate and staff feedback before you buy at scale. We understand AI. We understand you. With UD by your side, AI never feels cold.
